Your Data – Our Practices

Members

Shelton Striders and England Athletic 

When you become a member of or renew your membership with Shelton Striders you can also choose to be registered as a member of England Athletics (you will have to register with England Athletics if you ever compete for the club in competition Under UKA Rules). 

By becoming a member you are giving us permission to share you data with England Athletic. You are also granting us permission to use the data for purposes within the club (see Club Use below).

We use EA’s web portal to collect renewals for all members whether they opt for EA registration or not.

England Athletics  will use your data to enable access to an online portal for you (called myAthletics). England Athletics will contact you to invite you to sign into and update your MyAthletics portal (which, amongst other things, allows you to set and amend your privacy settings). If you have any questions about the continuing privacy of your personal data when it is shared with England Athletics, please contact dataprotection(Replace this parenthesis with the @ sign)englandathletics.org.

Club Use

The membership secretary will extract relevant data from the EA website to distribute to relevant parties within the club to permit various club actions.

The Road Championship organiser and the Headbanger Championship organiser will use name/DOB/Gender to determine who are members and within what age category they ran for the management of the competitions and allocation of awards.

The Birthdays Officer will have access to address/name/DOB to enable the club to celebrate members significant birthdays.

The club coaches have access to names and emergency contacts to enable the ‘members only’ policy to be policed at coaching events.

The Webmaster has access to names/DOB/gender/email address to determine current membership for management of the club records also to ensure we publish club results only for current club members.

Other club officers have access to names for social reasons in a family friendly club.

MailChimp

The data is also used to send out general club emails. Names and email addresses are shared with the highly reputable MailChimp system for the purpose of emailing.

As members choose not to renew we stop using their data and but retain it for 4 further years .

At any time, as a member, you can unsubscribe from this list but we would ask that you don’t or important notices will not reach you. Once unsubscribed MailChimp will retain your data to prevent us accidentally adding it back and sending mail again. We would suggest that we don’t interfere with this process which is designed to protect you.

Non-Members

The only non-member data retained by the club is data regarding entrants to the 10k event. If during the signing up you agree to allow us to contact you again regarding future 10k events then we will extract that data and put it into MailChimp solely for that purpose. At any point that you receive an email you may choose to unsubscribe from all future mailings. This is your right and we would encourage you to use it if you no longer want these emails to that email address otherwise that data will be retained.

All Data

We have never shared your data with any other organisation or individual outside of this policy and should we feel it relevant to at any point in the future we will seek your express approval first.
